Team Zeus — 2016 version

Following an extensive period of development and testing, we are extremely excited to reveal that the new version of Team Zeus is now available to the public! We believe that the improvements made to the efficiency of the application will dramatically enhance the productivity of every user.

A couple of months ago, we unveiled some of the key features that represent core aspects of the new version. Below is a complete and detailed overview of the new functionality that is incorporated within the 2016 version of Team Zeus:

Migration from the old version

Migration from the old to the new version of Team Zeus was completed on the 8th October. After this, all old Team Zeus subdomains were redirected to the following new address: https://app.teamzeusapp.com. Current users will be able to sign in with their existing details, or in the event that these are not available – you can of course recover an account using the ‘Forgot password’ form!

To log into the new mobile app, all users must first log into the desktop version, click on the user menu and then select ‘My Devices’; this will generate a new one-time access code for their device. This code can then be used to log into the mobile app, instead of the hassle of typing both their e-mail and password.

This only has to be done the first time you log into the new version of the mobile app – saving everyone time!

Brand-new user interface

Our biggest goal for the new version was to improve the user experience, declutter the interface and improve both performance and productivity.

We’ve spent valuable time analysing user interaction from the previous version, alongside collaboration with experts in user experience. Ultimately, this has led to some important changes in the concept, look and feel of the application. The user interface has been completely reworked in the new version, both from the outside (what people see), and “under the hood”.

Inbox, Later, Kudos – your new workflow

The Team Zeus ‘Inbox’ is the central point of your new experience. It replaces the old ‘Notifications’ screen and adds productivity intelligence. Its sole purpose is to display any new messages that need attention, and to prioritise them. All new notifications from announcements, conversations, chats, and calendar invitations will appear in a single place – the Inbox’s ‘New’ section.

To process information efficiently, you can easily use the context menu to move it to your ‘Later’ section, mark it as read or quickly press the ‘Like’ kudo. When an item is marked as read or a kudo is added (done one by one or in batch), it’s sorted and removed from the Inbox’s ‘New’ section. The same happens if you reply to a conversation.

Automatic sorting of the Inbox’s ‘Important’ section puts important ‘Announcements’ at the top, with conversations and chats below. If there is a calendar event invitation, you can accept/reject the invitation directly from your inbox.

The Inbox groups together chats and conversations and sort them out:

– Unread announcements are considered to be of highest priority and are always at the top.

– New messages from one-to-one chats and group conversations are added to the Inbox, based on the date of the first unread message.

– Conversations from public groups are considered to be less important and are located further down the Inbox.

The ‘Like’ kudo is visible to other users and considered to be a quick response to a message, therefore the related one-to-one chat or group conversation is removed from your inbox’s ‘New’ section.

If for any reason you want to respond to a conversation later – for example if a lengthy or more considered response is required – you can add it to the ‘Later’ section, with a simple click on the context menu. When you reply in the future, the conversation is automatically removed from the ‘Later’ section.

Fast access to ‘Recently Viewed’

The new ‘recently viewed’ widget on the top right of the screen allows for quick navigation between recently viewed conversations, chats or groups. In the old version, only a limited list of recent flexi threads and chats was available. This new widget extends history, adds all recent conversations and makes chats accessible from a convenient location.

Revamped group collaboration

During the redesign process, we thought long and hard about the old ‘Rooms’ model, and decided to shift it towards a more flexible ‘Group’ oriented model.

‘Groups’ are replacing ‘Rooms’ and have a permission scheme:

– Public groups allow any members of the company to join without pre-approval. It’s ideal for groups with content that may be useful company-wide, without the need for any restrictions.

– Restricted groups (default setting) work like old ‘Rooms’. They are visible in the Group Directory, but access can be granted by any existing group member.

– Private groups are only visible to the existing group members – and invisible to all others. Private groups are good for topics that need to stay confidential.

Redesigned Thread Model

In the new version of Team Zeus, we decided to simplify the current thread model, but keep existing workflows possible.

Here are the main differences:

– There is one unified screen to create any conversations.

– A conversation can be marked as an ‘Announcement’, which works similarly to old ‘Noticeboards’, except it gets higher priority in the recipient’s Inbox.

– A conversation can be created with multiple groups and/or multiple users at once.

– ‘Flexi Threads’ and the ‘Invited’ section are merged into ‘Other Conversations’. Conversations that do not belong to any of your groups are stored here.

Our golden rule during the thread model redesign was “Don’t make me think”, which led to having only one central ‘Create Conversation’ screen with everything in one place – instead of having the former ‘Create New thread’ button in several places.

We have improved the user interface and the relevance of search. Everything can be found in one place with a smart autocomplete functionality to retrieve the top results. Search results can be filtered according to their type or with an advanced search criteria.

Search can be quickly accessed on a desktop by pressing the / key on your keyboard.

Shared Templates

In the new version of Team Zeus, templates for conversations can be created and used for any conversations – not just for announcements. All templates are automatically shared with your team, so anyone can benefit from not having to write similar content again!

Reporting

Reporting – previously only available on a “by-request” basis – is now built-in. A set of standard reports are included by default, which will help admin users to analyse communication patterns and find inefficient workflows. You can read more about the advanced reporting dashboard on our blog. An additional set of useful reports are planned for the near future – check back soon!

Improved iOS & Android apps and mobile Web version

Both Android and iOS apps have been redesigned to match the new concept and user experience, with improved speed and stability to boot.

The Web version of Team Zeus can be used on any modern smartphone browser. It accesses the same version as the desktop web version, but in a responsive format. This provides a fully featured application on a mobile or tablet.

Calendar and Contacts synchronisation on Android

The Team Zeus calendar is an essential tool for planning and organising meetings. The new Team Zeus Android app adds synchronisation support with the Team Zeus desktop calendar, enabling users to view and amend events directly from a mobile or a tablet device.

Keyboard Shortcuts

Using a keyboard for fast access to frequent information is an immediate productivity improvement! The new Team Zeus version has keyboard shortcut handling, in order to quickly navigate between different elements – and to search or jump to recently visited conversations.

You can access the full set of shortcuts easily by pressing the h key on your keyboard, or by choosing ‘Shortcuts’ from the dropdown menu next to your profile.

We are planning to add more advanced keyboard shortcuts in the future, with the aim of further simplifying complex workflows.

Improved browser compatibility

The old Team Zeus version wasn’t widely compatible with older versions of Firefox or Internet Explorer. Thanks to framework choices made in the latest version (and our amazing development team!), the app now works smoothly in Google Chrome, Firefox and Internet Explorer.

Flexible layout

The new version has toggle buttons to expand/collapse both the main menu and user panel, which improves usability on smaller displays (laptops / Macbooks) – and allows you to focus just on content, whilst avoiding distractions.

You can also use the following keyboard shortcuts to quickly expand/collapse both panels:

Toggle main menu: Shift + M

Toggle people panel: Shift + P

The layout is saved to your session for future use.

Admin

The admin dashboard has been redesigned, putting all admin related features into one place.

Integrations

By the end of 2016, we will roll out other advanced integrations:

Zapier integration – support for more than 500 apps like Dropbox, Gmail, Asana, OneDrive and others.

Public HTTP API – allows developers to build any custom integration.

The legacy e-mail import feature is still supported.

Other bits

The new version brings some other minor updates worth mentioning:

– Markdown is now officially supported with formatting preview, when creating a new conversation.

– The author of a message can delete a message that has been sent by accident.

– Files can be uploaded by dragging & dropping them into a conversation.

– Improved image previews.

– Actions with low priority are not cluttering the main screen and are moved to a separate System Messages view.

– Setting return date for “Not Available” and “Vacation” is easier.

– The people directory allows you to filter users via their initials.

– The BlackBerry native application was discontinued.

Other features that will be added following the initial release:

– Onboarding tutorials for new users

– List of given / received kudos (likes)

– Integration of the personal to-do list with the Inbox

– Join & Follow features for Groups

– A completely new event scheduler for the calendar

– Drafts for new conversations

– New support site

– Group Boards.

– @Mentions

– Read recipients – to see who read a message in a conversation

– Sign Up and login with Google and Facebook account – when your Team Zeus email matches your Google/Facebook account

– Admin features to edit profile data of other users

– Reworked calendar support for external guests and public calendar links.

Team Zeus New Glossary

If you are an existing user of the previous version, the thought of changing over to a new design may cause some concern when trying to find tools that you were familiar with. Here is a glossary of common terms that are used on the new version with their former names, as well as some tips to help you find your way around the new platform as quickly as possible:

Active Conversations (Formerly known as “Open Thread”)

Active conversations correspond to current conversations you are having within a group.

Announcement (Formerly known as “Noticeboard”)

Announcement are important messages that need to be shared amongst your employees, and marked as read by the group of recipients.

To find past ‘noticeboards’, simply click on ‘Other Conversations’ and press the arrow next to ‘Active conversations’, and then click on ‘Announcements’ to find your old noticeboards.

Archived Conversations (Formerly known as “Closed Thread”)

Archived conversations are finished conversations in a group, as opposed to the default conversation that is automatically set up and always active.

To find past ‘closed threads”, go in the group it belongs to, press the arrow next to “Active Conversations” and click on “Archived conversations”.

event_note Calendar (now displayed in the left-hand menu)

The calendar is a feature that is designed to plan meetings with your colleagues, and to check their availability, as well as the availability of resources.

chat Chat (Formerly known as “1-1 Chats”)

A chat is a private discussion between two different users.

To have a chat with one of your colleague, type his/her name in the search menu or look for them in the People Directory.

people Groups (Formerly known as “Rooms”)

A group is the place where members of the same team can collaborate together, and corresponds to our old ‘room’ configuration. A group includes a default conversation that is designed for regular conversations of the same type, and is permanent.

Other conversations can be created within the same group to focus on a particular project; these will be temporary and archived when the conversation is no longer active.

To find your old inactive ‘threads’, click on a group, then press the arrow next to ‘Active Conversations’ and click on ‘Archived Conversations’.

folder Group Directory (Formerly displayed in the People Directory)

The Group Directory contains the list of all the groups on Team Zeus.

inbox Inbox (Similar to the old “Notifications” pages but more performant)

All new messages and notifications on Team Zeus will appear in your inbox.

watch_later Later (Formerly known as “star Starred”)

The ‘Later’ button can be clicked on in a conversation to mark it as something you want to return to when you have the time to answer, which helps to prioritise your messages. When you press the ‘Later’ button, the conversation will be displayed below new messages in your inbox.

thumb_up The “Like button” (New)

The Like button is a Kudo that enables you to like a comment to avoid having to message an answer like “ok”, “good idea” or “understood”.

Press this button to save time.

textsms Other conversations (Formerly: “Flexi-thread”)

‘Other Conversations’ is the section that contains conversations on a particular topic, between members of different groups.

To find your old flexi-threads, click on ‘Other Conversations’ and press the arrow next to ‘Active Conversations’, then click on ‘Archived Conversations’ to display past flexi-threads.

history Recently viewed (New)

‘Recently viewed’ is a button you can click on to view your last messages at a glance. So, when you first access the new version, do not panic if you lost the last conversation you were on – simply press this button to go back to your last interaction.

content_copy Templates (Formerly only available for Noticeboard)

A user can save a message as a template in order to re-use it to write another message. Past noticeboard templates will be featured in this section.

list To-do (now displayed in the left-hand menu)

The to-do button gives you access to your personal to-do list.

The new version of Team Zeus is designed to further enhance team communication and improve the way that employees collaborate within your company. Thanks to a host of new tools and a brand new design, all purpose built with efficiency in mind, effective team communication is now easier than ever!
